How to configure and create order response edi messages (ORDRSP)

How to Send an EDI Order Response Message

  1. Open Sales Order Entry

  2. Load a sales order

    1. Confirm the customer has the order response change ORDRSP configured

  3. Press the ORDRSP button

  4. A prompt will notify the ORDRSP has printed

    1. Errors will be thrown if the configuration is not correct

    2. Errors will be thrown if required data does not exist

Confirm the file has been created in the required location

How to check if an Order Response has been sent

  1. Open the sales order you wish to check

  2. Open the change log

  3. Look for an entry stating

    1. Order Response file created. And its location

    2. Order Response file uploaded to ftp

When will an order response be automatically sent

If a customer has an ORDRSP document configured, with Test Record set to false, Automatic set to true and Hold Orders for Review set to false. When an order is received without error (It is not held in demand and not held for review) an EDI order response will be sent automatically.

This is to allow for changes in order entry before the response is submitted to the customer. A message will prompt the user that an order response is required if this occurs.

Supported Order Changes

The order response change edi message can support three types of changes

Reject an Order Line (s)

To reject an order line use the close line action

Partially Reject Order Line (s)

To partially reject an order line reduce the order quantity to the available amount.

*Increasing the order quantity is not supported

Back Order (Delayed delivery)

To delay the delivery of an order (backorder) adjust the need by date on the sales order header.

*single order line (delayed delivery) backorder is not supported

Order Response Edi Message Configuration

Create a new report (From Report Style Maintenance)

  1. Set the Report ID to OrdRsp

  2. Set the description to EDI Order Response

Create a new report style

  1. Note the style number of the new report style.

  2. Set the description to Outbound EDI Order Response

  3. Set the report type to Custom Outbound EDI

  4. Set the data definition to OrderAck

  5. Select the Output EDI Plain Text

    1. Plain txt will create files with a .edi extension.

    2. XML files can be create by selecting this option.

Set the EDI Configuration (FTP Configuration)

  1. Set the FTP Hostname, Port, Protocol, Username and Password

  2. Set the FTP Active

    1. If FTP Active is set to false the file will be created but not uploaded to the FTP

  3. Set the Local Output Folder

    1. The folder should exist

  4. Set the Remote Ftp Folder

    1. The folder should exist

Create/Add a customer document

  1. Set the Document name to ORDRSP

  2. Select the Type to Sales Order Acknowledgment

  3. Set the Map ID to JPGAL

  4. Set the Direction to Outbound

  5. Set the Outbound Document value

    1. Use the report style number created in the previous step.

  6. Set the Test Record flag

    1. Sets the Test Indicator value in the EDI message if true

    2. Stops the file from being uploaded to the FTP if true.

  7. Set the Automatic Flag

    1. Automatically create the EDI file when the order is created from a demand record if true.
